Terms and Conditions
First of all, welcome 🙂.
Nature Escapes is just Pete and Fleur trying to live a better life, with integrity, positivity, faith, and love. Passion drives us, a passion for seeing the change in our customers. We bring up our children, we lead our scouts and we treat each other and our customers with honesty, love and compassion. We don’t get everything right, but that’s ok. Life is full of medicine, and we never stop learning. Having said all of that, as a business we have certain legal obligations (quite right too!) and we also have to set some terms to protect us.
The following document, together with all information relating to your chosen event contained in our literature, forms the basis of your contract with Kite Adventures Ltd trading as Nature Escapes. Please read them carefully as they set out our respective rights and obligations.

Booking and payment
Bookings are made through the online booking form at www.natureescapes.co.uk. Full payment is required to secure a booking.
On receipt of your booking, we will send you an acknowledgement of your booking. All correspondence for your booking will be sent to the person who has placed the booking with us, known as the “Lead guest” only. It is the Lead Guest’s responsibility to manage all payments due and forward all relevant correspondence onto your party.
On the booking form the lead guest will be asked to complete names of every person in the party and their email addresses. We need this information to be accurate because we will use the information to email each guest to request they complete an information form.
The information requested on this form must be completed by each guest and no booking will be complete until we have fully completed forms from all guests in the party. The information we ask for will only be used to ensure we can safely run our events. We will operate in accordance with the GDPR guidelines to ensure your data is protected and not used for any other purpose.
If you need to change your booking
We know stuff happens and plans change. We will always do our best to help you change a booking but as it gets closer to an event we have to implement a charging structure.
Changing the person
That said, places are transferable, so if you have a like for like replacement, i.e. if your booking is a place in a shared female room and you find a female to take your place then we can honour the swap up to 48 hours before the start of the event. If you want to change the person attending please email us with the details info@natureescapes.co.uk and make sure to include their email address, mobile phone number and full name.
Changing the date
If you wish to switch your booking to another event we will do our best to help you. Get in touch with us as soon as you can info@natureescapes.co.uk. Switching retreat events can be done up to 28 days before the event (subject to a varying cancellation fee, see below).
Cancelling your booking - retreats
Should you or any member of your party be forced to cancel your retreat booking, you must do so by email to info@natureescapes.co.uk. The cancellation will take effect from the date that the email is received in this office. For a cancellation received more than 90 days before the start date of the holiday a full refund will be given. A full breakdown of our refund charges are shown below.
At least 90 days before the start: A full refund is available
89 – 57 days before the start: We’ll give you a credit note minus 20% cancellation fee
56 – 28 days before the start: We’ll give you a credit note minus 50% cancellation fee
27 – 0 days before the start: No refunds or switching events, but you can send a replacement so long as you let us know at least 48 hours before (See above, Changing the person).
Credit notes
Credit notes may be issued. They are valid for 60 days. The 60 days refers to the time limit for making a booking, not attending an event. As long as they are used within 60 days the event booked can be any of our future events.
Website accuracy
The information given on our website and any other publications from Nature Escapes, has been carefully checked and we believe that it is correct at the time of publication. We reserve the right to make changes and where they occur, they will be advised to you before the booking contract is concluded. The prices shown include VAT. Should VAT rise above 20% the prices shown may alter. If there are any changes to the published prices, these will be confirmed at the time of booking.
If we need to change the booking
Very occasionally we might need to make changes to a holiday after a booking has been confirmed, or cancel confirmed bookings. Whilst we always endeavour to avoid changes and cancellations we must reserve the right to do so. If we have to cancel your holiday or make a significant change before departure (such as a change of accommodation to that of a lower official classification or standard, a change of accommodation area or a change to the date of departure) we will tell you as soon as possible and you will have the choice of:
accepting the changed arrangements or
taking an alternative holiday (and where this is of a lower price we will refund the difference, but where the price is higher we may ask you to pay the difference) or
cancelling or accepting the cancellation and receiving a full refund of all monies paid.
Please note that the above options are not available where any change is a minor one (i.e. any change not included above. A minor change would include a change of accommodation that is of the same standards as that which was advertised). Compensation will not be payable and no liability beyond offering the above mentioned choices can be accepted where we have to cancel as a result of unusual and unforeseeable circumstances beyond our control or force majeure.
We regret we cannot pay any expenses, costs or losses incurred by you as a result of any change or cancellation.
Website mistakes
In the unlikely event that we make a mistake in the pricing of an event on the website and a booking is made, we reserve the right to cancel the booking and give a full refund.
Third Party
Sometimes we use third party companies to provide events or entertainment. When participating in these events, liability will be the responsibility of the third party service provider. Occasionally these events may be effected by weather conditions or other causes. As a general rule if an event is effected we will discuss with the group and the service providers to see if alternative satisfactory options are available. If a third party provided event is cancelled and we can secure a refund for that provision, we will pass that refund on to our customers. If an event provided by a third party is cancelled due to force majeure we cannot accept any liability or pay any compensation.
Force majeure
We regret we cannot accept any liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected by, or you otherwise suffer any damage or loss as a result of force majeure. Force majeure means any event which we, or the supplier of the service(s) in question, could not, even with all due care, foresee or avoid. Such events include war or threat of war, riots, civil strife, terrorist activities, industrial disputes, fire, natural or nuclear disasters, adverse weather conditions and all similar events outside our control.
Covid-19
Update 14th November 2023 - We continue to follow government advice and we risk assess all our events to ensure that we stay safe as we learn to live with Covid.
Other stuff
Our responsibilities
We will accept responsibility if any death, personal injury, failure or deficiency of your event arrangements is caused by negligence or omissions by us, or our agents or suppliers. We will not be responsible for any injury, illness, death, loss, damage, expense, cost or other sum or claim of any description whatsoever which results from the fault of the person(s) affected or any member(s) of their party or results from an event or circumstance which we or the supplier of the service(s) in question could not have predicted or avoided even after taking all reasonable care. We cannot accept responsibility for any services which do not form part of our contract. This includes, for example, any additional services or facilities which your accommodation provider or any other supplier agrees to provide for you where the services or facilities are not advertised on our website and we have not agreed to arrange them. The maximum liability for any damages other than for personal injury or illness will be limited to the price paid for the event.
Your responsibilities
It is your responsibility to ensure that you are physically fit, suitably equipped for your event and aware of the risks involved in our events. Although Nature Escapes will ensure the event is as safe as possible you must accept that the sole responsibility for your personal safety remains with you. In the interests of safety you must undertake to follow the advice of your walking guide or anybody on our behalf, heed any warning or advisory notices encountered on any walk, follow the Country Code and act sensibly and prudently at all times.
Additionally, any damage caused by guests to accommodations used in the course of your event is the responsibility of the individual. Nature Escapes cannot accept responsibility for any such damage, and accommodations booked retain the right to reclaim costs from the Lead guest.
We expect all guests to treat Nature Escapes employees and other guests with respect and dignity. We will not accept physical or emotional abuse, intolerance or ridicule on our events. We believe everyone has the right to feel welcomed, respected and valued. Anybody who is deemed to breach these requirements will be asked to leave an event immediately without refund.
Personal Kit
Nature Escapes does not accept any liability for damage or loss to any item of personal kit during one of our events.
Credit Notes
Credit notes may be issued by Nature Escapes at our discretion, and are valid for 60 days after issue.
Complaints and problems
In the unlikely event that you have any reason to complain or experience any problems with your event whilst away, you must contact us immediately so that we have the opportunity to rectify your complaint at the time and we will do our best to resolve the problem straight away. Should it not be possible to resolve your complaint immediately, you should write to us, giving full details, within 14 days of the holiday’s conclusion. Complaints received after this date can be very difficult to investigate.
Privacy
We treat your data with care and keep it as secure as is reasonably possible. We’ll never sell your personal details to another organisation, and we’ll always ask your consent before sending marketing emails. For further details see our privacy policy.
Jurisdiction
All matters arising from your contract with us are governed by English Law and are subject to the jurisdiction of the courts of England and Wales.
Travel Insurance
You may wish to protect yourself, your equipment and luggage with a suitable holiday insurance policy. This insurance should also be arranged to cover non-returnable costs should you have to cancel your trip due to unexpected personal circumstances.
Consumer protection
In accordance with "The Package Travel and Linked Travel Arrangements Regulations 2018" all passengers booking with Nature Escapes are fully protected for the balance of all monies paid to us, arising from cancellation or curtailment of your travel arrangements due to the insolvency of Kite Adventures Ltd, trading as Nature Escapes.

Storing your data
We store and process your data based on the contract formed when you make your booking, and in line with the General Data Protection Rules (2018).
We securely process and store data in order to enable us to process your booking, fulfil the services we offer, send you your holiday details, and help us to contact you urgently if there are any problems. We also use your details to enable website functionality including bookings history, members’ area logins and to calculate loyalty discounts.
We retain your data only as long as is necessary to provide the aforementioned service and functionality. We will remove or redact personal data under the following circumstances…
You request erasure of your data, as is your right, by contacting info@natureescapes.co.uk.
The customer is deceased.
The customer hasn’t made a booking in the past 7 years.
